Thank you for choosing to book “To The Trees”. When you make a booking you are entering a contract with us on the Terms and Conditions (“Terms”) set out below.
Please take a few moments to read and understand the contractual relationship between you, the hirer, and us, the owners. Hopefully this will allow you the peace of mind you need, before you head To The Trees and during your time with us. If you have any questions please ask.
Definitions
“Accommodation”: includes the 4 tents, the outdoor kitchen and bar, the toilet block, the Scandi BBQ Hut, the game field and meadow, the carpark.
“The Trees”: the 4 acre woodland where the site is located.
“The River Meadows”: the area of river meadows South of the Site
“Tents”: the four tents on the To The Trees site
“We, our or us”: the owners of To The Trees.
“Guest”: “you” or “ your”, the person making the booking
“Group”: “any member of the group included in the booking
“Deposit”: 25% of the booking cost, made at the time of booking which is non-refundable.
“Booking(s)”: the booking made in accordance with these Terms
“Booking start Date”: the first day of your holiday
“Holiday”: the period of time included in the booking
“The Price”: the price agreed when the booking is made, which includes hire of the entire site (unless otherwise agreed during a special offer) and all bedding, towels, firewood and any extras.
“Terms”: the terms and conditions of hiring the To The Trees site, as set out below.
Children
We warmly welcome families To The Trees; it is a fantastic place to play. Any child under the age of 18 must be accompanied by an adult who will take responsibility for that child and assume responsibility for that child’s compliance with these Terms.
We are a working farm and there are hazards on the main farm site. The river Leadon runs at the South end of the site. Please supervise your children and tell them about the boundaries. If walking in the river meadow please stay to the mowed paths.
Groups
At least one member of the group must be aged 21 or over at the time of booking.
The person booking, when booking on behalf of other people, is responsible for sharing the appropriate information with the rest of the group. Please share these terms so that all members are aware of the responsibility each member has and understands the nature of the site. Groups that are celebrating a small event must be mindful of leaving the tents in a respectable state and refrain from bringing balloons, confetti and or party decor. Confetti in particular is banned from the site for environmental reasons. If necessary we will deduct any excessive cleaning costs from the deposit.
We ask all groups to be respectful of our neighbours and the local community.
Booking
You must be over 21 years of age to make a booking
- Our planning conditions require us to keep a record of names and home addresses of all Group Guests. The lead guest must provide your name, address, email address and phone number upon booking. Names and addresses of all Group Guests must be confirmed by email 1 week prior to arrival.
- A non- refundable deposit of 25% is to be paid at the time of booking; this confirms your holiday. Bookings made via our website are paid for by car or bank transfer.
-The balance of the Price is payable not less than 8 weeks prior to the start of the holiday. An email reminder will be issued.
- Bookings made less than 56 days prior to the arrival date must be paid in full at the time of booking.
- Any booking must be for private use by the Guest Group. We will not accept a Booking which is made by a Guest who organises holidays on a commercial basis and/or wishes to rent out the Accommodation to a third party.
Cancellation, booking changes and non-arrival conditions
We strongly recommend you take out cancellation insurance.
- Failure to pay the balance of the Price in full not less than 56 days before the first day of the Holiday will constitute a cancellation of the booking.
- If you wish to cancel a booking please contact us as soon as possible by email. The booking will be cancelled from the day we receive your written confirmation.
Cancellation charges as follows:
More than 56 days before your Booking start date: we will retain your non-refundable 25% booking deposit.
Between 56 and 31 days before your Booking start date: 50% of the price (includes the 25% deposit)
Less than 31 days before the Booking start date: 100% of the price
- If you wish to change the dates of your Holiday we will do our best to facilitate this. If the new Booking Start Date falls during a time period when the Price has increased, the higher Price will be charged. If you do not accept the alternative dates and the booking is cancelled the charges outlined above will apply.
- If extreme weather or events beyond your control prevent you from commencing or completing the holiday you are still subject to the cancellation terms.
- If the site becomes unavailable on the date booked (e.g. owing to fire or flood) or we have to cancel your holiday for any reason, we will in the first instance offer to rebook your stay, but if this is not possible you will be given a full refund. The guest shall have no further claim against us.
- Bookings made through AirBnb are subject to the Airbnb cancellation policy.
Damage Deposit
For private bookings taken through our website we ask for a damage deposit of £150.
On your Booking Start Date £150 will be held on the card used for booking. This money will be released in full if there is no damage. Any money deducted will be discussed with you prior.
You agree to pay the full cost due to negligence causing loss or damage to the facilities, equipment, outside furniture and inventory; this will be charged by the cost of repair or replacement. This includes breakages, spillages, stains, damage to furniture or fixtures and fittings. Small accidental damages or breakages of a minor nature will not normally be charged but please report any accidental damage as soon as possible in order to minimise damage and associated costs.
We reserve the right to repossess any of the tents where damage has been caused or, in our opinion, is likely to be caused by the hirer or a member of the hirer’s party. We reserve the right to enter the site at all reasonable times for the purpose of inspection or to carry out necessary repairs etc.
You agree to take good care of the site and leave the tents, furnishings, outdoor kitchen, Scandi BBQ Hut, Toilets and all equipment in the condition you found them on arrival. We ask that tents are left clean and tidy and that all kitchen equipment is washed before departure.
Any damage sustained through an Airbnb booking will go through the Airbnb resolution centre.
Occupancy
Occupancy of a bell tent must not exceed 4 adults and we reserve the right to decline accommodation and/or ask you to leave the site at any time if your numbers exceed this. The booking will then be deemed cancelled with full loss of payment. In certain circumstances additional beds can be arranged in a tent but only by prior agreement with the owners and payment of an additional fee.
We don't allow anyone on site who is not staying with us, unless this has been specifically requested prior to your stay and we have agreed to it under the specific circumstances.
Pets
Dogs are welcome, we just ask you to bring their bed and clear up after them. Farm animals are all fenced away from the site. We are happy for dogs to be off lead, we just ask you to be responsible for them and be aware of their whereabouts at all times. If a dog causes a nuisance, or is found unaccompanied at any time, we reserve the right to ask you to leave the site without a refund.
Belongings
We accept no liability for any belongings left on site at any time, including but not limited to within tents and cars. If you have valuable items that you wish to leave in a secure place please let us know and we will store these for you.
Lost Property
Any lost property if found will be held for a period of 1 month. While we will make our best efforts to reunite lost property with their owners we accept no responsibility in replacing lost items and encourage guests to ensure they have all their belonging before checking-out. We may offer to post lost items via recorded delivery at the cost of the property owner, otherwise collection can be arranged.
Circumstances beyond our control
We cannot accept responsibility for work taking place outside the boundary of the property nor for any noise or nuisance arising from works over which we have no control. We cannot accept liability for events that occur outside our control, such as normal breakdown of domestic appliances; plumbing, wiring and damage resulting from exceptional weather conditions. Once advised of a problem, we will take immediate action to effect a speedy solution, minimising inconvenience caused.
Take Care
Please remember you are staying in a woodland camping environment which has natural hazards and wild animals. Some of the site equipment can be dangerous if misused.
To The Trees accepts no liability for any accident, injury, loss or damage sustained by any resident, their family, visitors, animals, vehicle or personal effects however caused.
We advise you to arrange your own insurance to cover yourselves and your personal belongings whilst staying at the property.
Nothing in these Terms and Conditions purports to limit or exclude liability for personal injury or death as a result of the negligence of the owners. Your statutory rights are not affected.
Concerns or complaints
We want you to have an excellent adventure in the trees and we hope your holiday runs smoothly. If you have any concerns or issues we ask you to let us know as soon as possible on 07546 605233 so we can do our best to resolve the problem. We cannot accept claims for compensation lodged after the departure as it is no longer possible to investigate the problem or take immediate action. Under no circumstances will our liability exceed the amount paid for the site.
Guest Responsibility In order to conserve the natural beauty and tranquillity of the countryside, The Terms of booking in respect of expected standards of behaviour as set out below are to be observed and adhered to by all Guests. Fundamentally, you must not use the camp site, or allow it to be used, for any dangerous, offensive, noisy, illegal or immoral activities. You must not cause any nuisance or annoyance to any neighbours or anyone else during your stay.
The ‘To The Trees’ camp site reserves the right to cancel or terminate a guest’s stay without consultation, compensation and with immediate effect if any behaviour is considered ‘inappropriate’ including aggressive, inappropriate and/or violent behaviour towards other guests and staff or otherwise affects their property or that belonging to the Farm. Any ‘inappropriate behaviour’ will result in immediate termination of stay, without refund and with deposits, if necessary, withheld to cover the costs of any inappropriate behaviour.
The fundamental conditions of booking are as follows:
• The camp site is not a party location.
• Alcohol is permitted on site if consumed in moderation but excessive alcohol consumption / drunkenness will be considered ‘inappropriate behaviour’.
• Recreational drug use will be considered ‘inappropriate behaviour’.
• Socialising around a campfire is an integral part of most camping experiences but from 22:00 hours consideration should be given to our neighbours.
• No amplified music of any kind/source is permitted at any time and guests are requested to drive vehicles on their approach to the Farm and within its curtilage without radio/stereo systems playing.
• The use of generators is not permitted.
• The number of guests staying overnight must not exceed the number agreed when booking.
• Day visitors may be permitted in certain circumstances if prior approval is sought and granted - failure to gain such approval will be considered inappropriate behaviour.
• At least one member of any group must be twenty-one (21) years or over.
• The site is on a working farm - children must be supervised at all times.
• The use and/or storage of firearms or weapons of any kind is not permitted in any part of the campsite or in vehicles parked at the Farm.
• Smoking - including the use of vapours and/or e-cigarettes - is not permitted in tents.
• Fireworks or Chinese lanterns are not permitted.
• Cooking within the bell tents is not permitted.
• BBQs and fires must be operated only in the designated areas, supervised by an adult at all times and fully extinguished after use - the lighting of fires may be prohibited in the event of particularly dry conditions.
• Only wood supplied by the Farm or charcoal or briquettes may be burned on site and ash and embers must not be disposed of until extinguished/cold and only in the waste bins provided; & the use of gas cookers or gas heaters is not permitted within tents.
• Please be sensitive to the surrounding natural environment, abide by the Countryside Code - respect other people; - consider the local community and other people enjoying the outdoors; - leave gates, stiles and property as found and follow paths; - protect the natural environment, leaving no trace of your visit and taking your litter home; - keep dogs under control; - follow local advice and signage; and ultimately - enjoy the outdoors!
